Position Summary
The Sales Representative / Estimator is responsible for generating revenue by identifying customer needs, preparing accurate project estimates, presenting solutions, and securing project contracts for HVAC, plumbing, or electrical services. This role manages the sales process from initial customer contact through proposal preparation and project handoff while maintaining strong relationships with homeowners, builders, developers, and commercial clients.
The Sales Representative / Estimator conducts site evaluations, develops scopes of work, prepares pricing proposals, and collaborates with operations teams to ensure projects are planned accurately and executed successfully. This position also provides project overview support by communicating project expectations, timelines, and scope details to both customers and internal teams.
Success in this role requires strong technical knowledge, customer service skills, and the ability to translate customer needs into profitable projects while maintaining the company’s standards for quality and professionalism.
Requirements
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Sales & Business Development
- Respond to inbound customer inquiries and sales leads
- Generate new business opportunities through referrals, builder relationships, and networking
- Conduct customer consultations to identify project needs and recommend appropriate solutions
- Develop long-term relationships with homeowners, property managers, builders, and contractors
- Maintain a professional presence representing the company within the community
- Follow up on leads and proposals to secure signed contracts
Estimating & Proposal Development
- Conduct on-site evaluations to assess customer needs and project requirements
- Measure spaces and assess existing systems and conditions
- Prepare accurate project estimates for installations, replacements, and upgrades
- Develop detailed scopes of work including materials, labor, equipment, and timeline considerations
- Ensure estimates align with company pricing standards and profitability goals
- Prepare and present professional proposals to customers
- Explain technical solutions and pricing clearly to clients
Project Overview & Coordination
- Provide initial project overview and scope explanation to customers
- Communicate project expectations, timelines, and process to clients
- Coordinate project handoff with installation teams and project managers
- Ensure all job details are accurately entered into company systems
- Assist operations with clarifications regarding project scope and specifications
- Participate in project kickoff discussions when necessary
Builder & Contractor Relationships
- Develop and maintain relationships with builders, developers, and contractors
- Participate in bidding opportunities for construction projects
- Assist in reviewing plans and specifications for new construction projects
- Provide estimates and proposals for mechanical scopes of work
- Maintain professional communication with construction partners throughout the bidding process
Customer Relationship Management
- Maintain regular communication with customers throughout the sales process
- Provide updates regarding proposal status and project scheduling
- Address customer questions and concerns regarding equipment, pricing, and project scope
- Ensure customers understand warranty, service options, and maintenance plans
Documentation & Systems
- Maintain accurate records of all estimates, proposals, and communications
- Enter job information and estimates into CRM or field service systems (e.g., ServiceTitan)
- Track proposal activity and pipeline opportunities
- Maintain organized records of plans, measurements, and project notes
Revenue & Performance Management
- Meet or exceed monthly and annual sales targets
- Maintain strong close ratios and sales conversion rates
- Ensure estimates meet company margin requirements
- Track project opportunities and follow up on pending proposals
Customer Experience
- Deliver a professional, consultative sales experience
- Ensure clear communication and transparency with customers
- Maintain high customer satisfaction throughout the sales and project initiation process
- Represent the company’s commitment to quality, integrity, and professionalism
Minimum Qualifications (Knowledge, Skills, and Abilities)
- 3+ years of estimating and/or sales experience in HVAC and/or plumbing trades.
- Strong understanding of HVAC and plumbing systems, installation methods, and building codes.
- Ability to read and interpret blueprints, plans, and technical documents.
- Excellent communication, negotiation, and customer service skills.
- Proficiency with estimating software, CRM tools, and Microsoft Office.
- Valid driver’s license and reliable transportation.
Physical Demands and Work Environment
- Field and office-based role with regular site visits and customer meetings.
- May require flexible hours to accommodate client schedules.
- Prolonged screen viewing.
- Lifting up to 25 pounds.
Compensation: $45,000.00 - $60,000.00 per year
